Behind the scenes: my trainee experience at SEAMK’s International Education Services

Do Thao Nguyen (Windy) completed her practical training at SEAMK International Education Services in spring 2025.  Read below about Windy’s experience as a trainee.

Starting my internship at Seinäjoki University of Applied Sciences (SEAMK) in the International Education Services was an exciting step in my learning journey. As an International Business student eager to explore global education and intercultural communication, this trainee role provided me with the opportunity to gain hands-on experience in a truly international environment.

First impressions

On my first day, I was a little nervous but also curious about what awaited me. Maria, the Incoming Exchange Students Coordinator, welcomed me with a hearty smile, and it made me feel less nervous. Soon after that, it was great that the office atmosphere was warm and welcoming, and I quickly noticed how diverse and dynamic the team was. Everyone greeted me with kindness, and I immediately felt that I was part of something meaningful. It was inspiring to see professionals working so passionately with international students from all over the world. I realised right away that this role would be much more than just administrative work—it was about building bridges between cultures and supporting students in their study abroad journeys.

My responsibilities

During my internship, I was responsible for supporting the preparation and execution of two major events: International Days and the HEREOS Semi-Annual Conference. For both events, I was involved in various logistical tasks, including creating welcome signs, door signs, and name badges. I also worked at the Info Desk, where I assisted guests and supported the Assistant Team in ensuring everything ran smoothly.

These experiences helped me build greater confidence in communicating with people from diverse cultural backgrounds and taught me how to navigate multicultural interactions effectively. I had the opportunity to interact with guests from around the world, as well as collaborate with international friends on the Assistant Teams — experiences that significantly enhanced my intercultural communication skills.

In addition to coordinating events, I assisted with orientation activities for incoming exchange students and supported the Gathering of Exchange Students event, under the guidance of Tiina and Maria, who oversee Incoming and Outgoing Student Mobility. My responsibilities included answering questions, finding the venue for the event, and assisting with menu bookings.

I also contributed to managing international mobility data and preparing related reports under the supervision of Maria and Tiina. This experience enhanced my technical proficiency in Excel, Word, and database management.

I also worked closely with Becky, the Senior Expert, to help prepare marketing materials for SEAMK’s partner agencies. This gave me valuable insight into SEAMK’s branding strategy and the importance of clear, targeted communication in promoting the university to international markets.

Another highlight of my internship was helping to organize the Family Session with Niina, the Study Curator. I supported the event by assisting during the session itself and by creating promotional materials and advertisements to raise awareness and encourage participation. This experience deepened my understanding of student support services and how to communicate effectively with diverse audiences, including international students and their families.

Beyond event-related tasks, I supported various administrative duties and researched how to improve the SEAMK website to make it more welcoming and user-friendly for international audiences. I also contributed ideas from a student perspective to help enhance services for international students and attract more applicants in the future.

Skills and growth

This experience significantly enhanced my communication skills, especially in a multicultural environment. I became more confident in using English professionally and effectively improved my Finnish skills and learned how to tailor information to different audiences. Besides language skills, I gained valuable knowledge of the international education system and the importance of student support services. Working closely with the team also taught me about teamwork, responsibility, and problem-solving.

But perhaps most importantly, I grew as a person. I saw firsthand how hard the staff at SEAMK work to support students and ensure they receive the best possible services. As a trainee and also as part of the SEAMK community, I deeply admire their dedication and professionalism. It inspired me every day to give my best and reminded me of the power of working with purpose.

Challenges and lessons

Like any new role, I faced some challenges. At times, I had to learn how to adapt to Finnish working culture and learn to become more confident in communication, which tested my organisational skills. Additionally, understanding complex processes and unfamiliar digital systems took patience and practice. Thankfully, the supportive environment and helpful supervisors made it easier to overcome these hurdles.

The kindness and encouragement from the International Educational Services team meant so much to me. Whenever I had a question or felt unsure, there was always someone willing to help. Their support created a safe space to learn, make mistakes, and improve — something I will always carry with me.

Memorable moments

One of the most rewarding moments of my internship was participating in the Team Outing. That day gave me the chance to connect more deeply with the entire team. I laughed, enjoyed a beautiful summer nature walk, and shared heartfelt conversations with my colleagues. Listening to their childhood dreams was both emotional and heartwarming—it was a truly special and memorable moment.

I also had the pleasure of meeting a new friend, Saija, one of our assistants on International Days. Her friendly and supportive nature challenged the common stereotype that Finnish people are shy or distant. Her openness and encouragement had a positive impact on me and made me feel connected from the very beginning.

In addition, I truly appreciated the informal coffee breaks and team discussions, which allowed me to build stronger relationships with my colleagues. These moments of laughter, support, and shared experience made my internship feel like more than just work — it felt like a place where I truly belonged.

I am especially grateful to my manager, Ms. Marjo, who was incredibly kind and supportive throughout my internship. She allowed me the flexibility to balance my training schedule with my study commitments. Thanks to her understanding, I was able to complete most of my mandatory courses and stay on track to graduate by the end of this year.

The final memorable moment for me was the summary discussion about my practical training with Ms. Carita, our new manager. Although she had only recently joined the team, she offered a warm and friendly presence that made me feel comfortable speaking with her. During our conversation, she shared thoughtful advice — but the most meaningful of all was her encouragement: “Do not give up.” Her words reminded me to stay strong despite the many challenges I face as an international student. Her support gave me motivation and hope for the future.

Reflection and future goals

This internship at SEAMK’s International Educational Services has been a pivotal experience in my career development and personal life. Before starting, I sometimes doubted my decision to pursue my degree in Finland and wondered if I had made the right choice. However, working closely with international students and staff, seeing the incredible support system in place, and experiencing the Finnish education environment firsthand has motivated me to continue with confidence and strengthen my plans to settle in Finland.

I now understand more deeply the meaning of working in international education — not just as a job, but as a mission to support students and promote global understanding. This training gave me practical insights into education management, enriched my academic journey, and helped me see Finland not just as a place to study but as a place to build a meaningful life.

Tips for future trainees

If you are considering a trainee position here or in a similar setting, my advice is to stay curious and proactive. Don’t hesitate to ask questions, volunteer for new tasks, and learn from everyone around you. This is a unique chance to grow both professionally and personally. And remember — it’s the people you work with who will make the biggest difference. Be open to learning from them, and you will leave the experience with more than just new skills — you will leave with memories, confidence, and inspiration for the future.

I am deeply grateful to the International Educational Services team at SEAMK for this opportunity and their continuous support throughout my trainee journey. Their friendliness, patience, and dedication have left a lasting impression on me. This experience has truly enriched my studies, clarified my career path, and strengthened my connection to Finland. I look forward to what lies ahead with renewed motivation and optimism.
