3. Name of the data file

Seinäjoki University of Applied Sciences Moodle.

4. Purpose of processing personal data/data file use

Providing for users a service consisting of an online learning and competence environment.

5. Purpose of maintaining the data file

The processing is based on a task carried out in the public interest or in the exercise of official authority: higher education and the development of teaching.

The personal data collected is used for:

  • Managing access rights
  • Guiding learning and assessing study performance
  • Enabling communication
  • Verifying student identity
  • Logging in to services connected to Moodle
  • Generating learning analytics data
  • Resolving problems
  • Student support services provided by AI-Tutor
    • AI-Tutor is a conversational AI assistant in Moodle that provides students with real-time support based on the course content. AI-Tutor does not make automatic decisions or use data for profiling.

5a. Data content of the file

The register contains basic user information (name, email address, username, role, student number), course completion information, log information, and any information added by the user (e.g., photo, description, phone number).

5b. Information systems using the data file

  • Microsoft 365 (login and user management)
  • Peppi student management system (integration with Moodle)
  • AI-Tutor (artificial intelligence assistant in Moodle, implemented with Azure AI service, servers located in Sweden)

6. Regular sources of data

  • SEAMK user management (Active Directory / Azure AD)
  • Peppi system (implementations, participants, small groups, description information)
  • HAKA user identification system (cross-study students)
  • User themselves (manual IDs)

7. Regular disclosure of data

The user’s name may be visible to other users, for example, when using central areas or other activities. Users can choose to make other information visible or hide it. The processing of personal data has been outsourced to Mediamaisteri Oy, which operates on behalf of SEAMK. Data will not be disclosed to third parties without a legal basis.

8. Transfer of data outside the EU or the EEA

No data is transferred outside the EU or EEA. The Moodle servers and the Azure AI service behind AI-Tutor are located in the EU/EEA (Sweden). The user interface is also accessible from outside the EU/EEA via an encrypted connection.

The system is protected by user IDs, passwords, and firewalls. Access rights are restricted. Those who process personal data are bound by confidentiality obligations.

The information generated by AI Tutor and learning analytics does not lead to automatic decisions. All decisions concerning students are always made by humans.
